A Primer on Barcode Scanning

Since QuickBooks® does not directly support bar code scanners, Sales and Service Trakker™ products make use of other methods to enable scanning.  Scanning is supported for both Code 39 and UPC barcodes, and both the Symbol Technologies PDA units and the SDIO scanner from Socket™ are supported.

Using bar code scanning can increase the speed at which an invoice can be completed; the larger the number of items, the more the performance gain.  Barcode accuracy also eliminates the mistaken entry of the wrong part or service. 

Code 39:

If a Code 39 barcode scan is detected by the application, a lookup will be performed on the Item Name/Number in the item catalog.  If a match is found, the item description and price will be automatically inserted into the sales or service work order.  If a match is not found, the system will sound an alarm and notify the user on the screen.

UPC:

To enable UPC, the QuickBooks® file must have a custom field established in Items, called "UPC".  This field must then be filled with the complete UPC number of that item.  

If a UPC barcode scan is detected by the application, a lookup will be performed on the UPC number to a cross reference table that the application automatically produces, then a lookup on Item Name/Number in the item catalog.  If a match is found, the item description and price will be automatically inserted into the sales or service work order.  If a match is not found, the system will sound an alarm and notify the user on the screen.

Using SDIO Scanning with the Slip Printer:

Because of the height of the scanner, it blocks the paper path slightly on the printer.  To eliminate paper jams, the paper must be advanced manually following each receipt print.  To advance the paper, push the paper advance button on the bottom left front of the printer momentarily.  The paper will move forward slightly; then manually smooth it forward so it will clear the scanner when the next receipt is printed. 

Laser vs. SDIO Scanner:

The 1800 and 1550 scanners from Symbol® Technologies utilize a laser scanning method, and the SDIO scanner from Socket uses a CCD scanner method.  The Laser scanner provides its own light to illuminate the barcode, while the CCD scanner relies on ambient room light.  In a bright, well-lit room like an office or showroom, the systems will be almost identical in performance.  But CCD scanners will not perform well in dimly-lit environments like warehouses.  Choose the scanner/PDA combination that fits the work environment to get the best performance.
